The interactive floor plan loads automatically on the page

  1. Open your browser and navigate to vendor.collablynx.com.
  2. The interactive booth map loads automatically — no login required to browse.
  3. Review the color legend at the top of the map: green booths are available, yellow are on hold, pink are sold.
  4. Scroll or zoom the map to explore all booth sections — Regular ($400), Prime ($500), and Food booths (price varies).
  5. Use the stats bar to see how many booths are still available before you pick.
💡 Tip Prime booths (darker green on map) are in high-demand corner and front-row positions — they sell out first. Reserve early!

  1. Click any green booth cell on the map — it will highlight briefly on click.
  2. A popup modal appears with the booth ID, section, type (Regular / Prime / Food), and price.
  3. If a booth is yellow (On Hold), click it to see the remaining hold countdown — it may become available if the holder doesn't pay in time.
  4. If a booth is pink (Sold), it is fully reserved and cannot be selected.
  5. You can close the popup at any time with the ✕ button or by pressing Escape — no hold is placed just from clicking.
💡 No commitment yet Simply clicking a booth and viewing its popup does not reserve it. Your hold only starts after you click Reserve & Pay.

Read the Hold Policy & Booth Details

Understand the 8-hour payment window before committing

Important
  1. The popup shows the booth type and price — confirm this is the booth you want.
  2. Read the Hold Policy notice (yellow box in the popup) carefully — it explains your 8-hour window.
  3. Once you click Reserve & Pay, your booth is immediately marked On Hold and the 8-hour clock begins.
  4. If you do not complete payment within 8 hours, the hold is automatically released and the booth returns to available.
  5. You will receive a hold warning email 1 hour before your hold expires as a reminder.
⚠️ 8-Hour Hold Rule
Your hold starts the moment you click Reserve & Pay — not when you finish the form. Plan to complete Zeffy payment in the same session.

Complete the Vendor Application Form

Expand the form section in the popup and fill in your business details

  1. In the popup, click "📋 Also submit vendor application" to expand the form accordion.
  2. Enter your Business / Organization Name and Contact Person Name.
  3. Enter your Email Address — your hold confirmation and QR e-ticket will be sent here. Double-check it carefully.
  4. Fill in your Phone Number, Booth Category, and Product / Service Description.
  5. Check Electricity Needed if applicable, then check I Agree to the Vendor Terms & Conditions.
  6. The form is optional at this stage — you can submit it now or skip and fill it out separately later.
💡 Tip Submitting the vendor form now speeds up the approval process. Applications are reviewed by the organizer before your booth assignment is finalized.

Click "Reserve & Pay" — Your Booth is Now On Hold

A name and email prompt appears, then your hold is placed instantly

8-hr Hold Starts
  1. Click the blue "🔒 Reserve & Pay" button in the popup.
  2. A quick prompt asks for your name and email — enter them accurately.
  3. The system immediately marks the booth On Hold (it turns yellow on the map for all visitors).
  4. A hold confirmation email is sent to your inbox with the Zeffy payment link and your hold expiry time.
  5. You are then redirected to the Zeffy payment page to complete purchase — do this in the same session.
💡 Check your inbox The hold confirmation email contains your Zeffy payment link. If you get interrupted, use that link to return and complete payment — don't start over.

Zeffy is the secure payment platform — your booth price is pre-filled

Zeffy Payment
  1. You are automatically redirected to Zeffy's secure payment page with the booth price pre-filled.
  2. Verify the amount matches your booth price (Regular $400 / Prime $500 / Food as listed).
  3. Enter your card details — credit or debit. Zeffy also supports Apple Pay and Google Pay on supported devices.
  4. Click "Complete Payment" on Zeffy to process.
  5. After successful payment, Zeffy confirms the transaction and the booth is permanently marked Sold in the system.
⚠️ Do NOT press Back
Do not press the browser Back button during Zeffy payment. If you navigate away, use the payment link in your hold confirmation email to return.

Receive Your QR E-Ticket & Confirmation Email

Your reservation is confirmed — save the QR code for event check-in

E-Ticket
  1. After payment, your booth turns pink (Sold) on the map — locked in permanently.
  2. A confirmation email arrives with your QR code, booth details, event date, and location.
  3. The email contains your unique Reservation # and a link to view your ticket online.
  4. Save or screenshot the QR code immediately — you'll need to present it at check-in on event day.
  5. No printing required — show the QR code on your phone screen at the vendor entrance.

How to Reserve Your FIA Vendor Booth

⏰ 8-Hour Hold Policy When you click "Reserve & Pay", your booth is locked for 8 hours. You must complete Zeffy payment within that window or the hold is automatically released.

Click a green (available) booth on the map

A popup opens with booth ID, type, and price. Clicking alone doesn't reserve — just shows details.

Review the booth details & hold policy

Confirm the booth type and price. Read the 8-hour hold policy in the yellow notice box inside the popup.

Fill in the vendor application form (optional but recommended)

Expand "Vendor Application" in the popup. Enter business name, email, phone, category, and description. Check the Terms box.

⚠ Use the email address you check regularly — your QR e-ticket goes there.

Click "Reserve & Pay" — your hold starts now

Enter your name and email when prompted. The booth turns yellow on the map immediately and a hold confirmation email is sent to you.

Complete payment on Zeffy

You're redirected to Zeffy's secure checkout with the amount pre-filled. Enter card details (or use Apple/Google Pay) and confirm.

Do not press Back during checkout. Use the link in your hold email if you get interrupted.

Check your email for your QR e-ticket

Your booth turns pink (Sold) on the map. A confirmation email with your QR code arrives immediately. Screenshot it for offline access on event day.
